Terms

The basic deal.

Bothy is pre-launch. This is the human-readable version of the rules we're operating under today. When we have paying customers we'll replace this with a lawyer-written Terms of Service.

Last updated May 21, 2026.

Who we are

Bothy is operated by Coach House, a Louisville Kentucky studio. When this page says “we,” that's who we mean. When it says “you,” that's the person using Bothy or visiting the marketing site.

What you can do

Use Bothy to manage your nonprofit's grant pipeline, stewardship, reporting, funder relationships, and search. Invite colleagues from your organization. Export your data whenever you want. Cancel whenever you want.

What you can't do

Use Bothy for anything illegal. Try to break into other customers' workspaces. Resell Bothy as a wrapper service without talking to us first. Scrape the product to train a competing model. The usual.

What we promise

We'll keep your data safe, store it in the United States, and let you export it any time. We'll tell you in advance before major changes that affect your workflow. If we sunset Bothy (which we don't plan to), we'll give you at least 90 days to migrate your data, and we'll help you do it.

We will not sell your data to advertisers, train AI models on your workspace, or rent your information to anyone for any reason.

What we don't promise (yet)

Bothy is still early. We aim for 99.9% uptime but during the pilot phase we don't guarantee it in a binding way. If we're down for a day, we'll credit you for it. If we're down for a week, we'll refund you. If a feature you depend on breaks, we'll fix it fast or refund you. The spirit: you can rely on us, but the formal SLA comes when we have enough scale to underwrite it.

Payment + cancellation

Monthly subscriptions are billed monthly. Annual subscriptions are billed annually. Cancel any time from the customer portal — you keep access until the end of the period you paid for.

14-day money-back guarantee on the subscription. If you cancel within the first 14 days of a paid subscription period (monthly or annual), we'll refund the prorated subscription amount. After day 15, no refund — but you keep access through the end of the period you already paid for.

Custom research + setup fees (Pro and Premium)

The Pro and Premium setup fees ($1,500 and $2,500) buy human labor: 25–50 hours of Candid-Premium-verified funder research scoped to your org. We deliver this as a written briefing + a populated opportunity pipeline inside your Bothy workspace.

Because this is work performed for you specifically, the setup fee is refundable on a clear schedule:

  • Before kickoff call: full refund on the setup fee. We haven't started work yet.
  • After kickoff call, before research delivery: prorated refund based on the hours invested up to that point.
  • After research is delivered: setup fee is non-refundable. The research is yours to keep and use; we did the work.

The 14-day money-back guarantee on the subscription is independent of the setup fee — you can still get the subscription portion refunded under that policy.

How you can use the research. The funder list, scoring rubric, and write-ups are licensed for your nonprofit's own fund-development use. You can share them internally with your board, staff, and advisors. You can use them as a starting point for your own research forever. You cannot resell, republish, or share the research with another nonprofit or consultant — that would defeat the point of paying for custom work.

If something breaks

Email hello@bothy.so and a real person at Coach House will write back. We try to respond within 2 business days, faster for things that are actively blocking your work.

A note on this page. This is not a substitute for a real Terms of Service. It's a placeholder that captures the spirit of the deal while we're pre-launch. When we have paying customers at scale, this page will be replaced with a proper lawyer-written ToS and we'll change the “Last updated” date.

Until then: the rules are what they say above, and if anything here turns out to be unclear or unfair, email us and we'll make it right.
